Job Summary
The Events and Travel Admin aids in the coordination of Corporate and Divisional meetings and events for both employees and the public. They assist with project support, 3rd party relationship contracts, and provide vital office support. This includes overseeing meeting logistics, reporting processes, and budgeting activities. Their administrative expertise ensures the seamless operation of the events and travel department. Their meticulous attention to administrative details ensures the smooth functioning of the events and travel department.
Duties and Responsibilities
- Assist bluemedia teams in planning, coordinating, and managing budgets for meetings and projects.
- Address daily concerns related to employee and non-employee travel.
- Support and communicate the Travel Program to employees to ensure they understand relevant policies and procedures.
- Assist in coordinating travel for large projects, ensuring adherence to procedures and collaborating with team members.
- Assist the Sr. Contracts Manager with task related to contract administration.
- Provide essential office support, including managing office supplies, coordinating mail distribution, and maintaining a well-organized filing system for event and travel documents.
- Help establish and nurture vendor relationships across all corporate locations to facilitate the procurement of services.
- Assist in maintaining relationships with preferred airlines, hotels, and car rental agencies.
- Support in compiling and distributing value-added reports related to events and travel.
- Contribute to the identification of process improvement opportunities and help gather feedback from post-event surveys.
- Attend pre and post event meetings to understand group needs and provide feedback.
- Collaborate in pre-event and post-event meetings for medium to large-sized groups.
- Participate in essential meetings such as Banquet Event Order meetings and block reviews.
- Coordinate with the corporate travel agency to ensure timely ticketing.
- Maintain a high level of attention to detail in all tasks.
- Travel and assist onsite for meetings and events as required, including aiding in site selection.
- Undertake additional tasks and responsibilities of a similar nature as assigned.
Required Skills / Abilities
- Associate’s degree, within a business concentration, and 1 year of related experience required; Bachelor’s degree preferred.
- Must be able to travel.
- Experience working on cross functional teams, multitasking, and managing time independently with little direction.
- Efficient with Microsoft Office Suite (i.e., Excel, Word, Access)
- Excellent communication skills. Must be able to effectively communicate with associates at all levels, including senior executives.
- Strong analytical and critical thinking skills.
- Excellent organizational and interpersonal skills.
- Must be able to manage confidential information.
- Ability to work under pressure and to tight deadlines.

Education and Experience
- Associate’s degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major; at least 1 year experience in the event management or related professional area required; Bachelor’s degree preferred.
- 1+ years of working experience in the travel and hospitality industry preferred.
- Strong customer-service focus and interpersonal skills.
- Experience with coordinating multi-tasks and projects with internal stakeholders and suppliers.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds at times.
- Must be able to access all areas of the facility to determine needs.
- Travel required, based on business needs.
